We are currently seeking qualified candidates for the following positions:

Administrative Office Assistant

 

Full Time – Monday through Friday, 8am – 5pm, with an hour for lunch.

This 56 year old Architectural firm is looking for a self-starter and problem solver with a clear phone voice and a professional appearance to complete clerical and office duties, answer phones, greet and take care of visitors, and deliver or pick up project files, mailings, and supplies.

Clerical and office duties will include creating/ updating spreadsheets in MS Excel, updating and maintaining the project database, data entry, typing up proposals and correspondence in MS Word, creating project AIA Documents, proofreading, error checking, ordering and stocking the office supplies, scheduling conference rooms for meetings, making travel/ meeting/ catering arrangements, making maintenance requests, requesting new employee keys, filing, scanning, copying, maintaining the clean appearance of the offices and break room, loading/ running/ unloading the dishwasher, making coffee, sorting and delivering office mail/ packages/ and faxes, and providing support to the architects, sales/ marketing, HR and Business Office teams.

Minimum qualifications:
* High School Diploma or GED.
* Two years of related office experience or having worked in a fast paced environment.
* Valid driver’s license and reliable source of transportation.
* Excellent telephone etiquette and customer service skills.
* Strong organizational/ problem solving/ basic math skills, dependable, and able to multi-task.
* Detail oriented and thorough in completing work tasks.
* Ability to learn and develop proficiency in new processes and computer programs.
* Knowledge, proficiency, and use of AIA Documents or the ability to learn this program and develop proficiency within 6 months on the job (it is a MS Word based overlay program).
* Ability and initiative to plan, prioritize, and complete daily activities with minimal direction.

Essential requirements of this position:

* Ability to communicate clearly and effectively in English in writing and verbally.
* Must be able to follow instructions, get along with and work cooperatively with co-workers.
* Computer & technical skills:

* Typing 50+wpm.
* Knowledge, proficiency, and use of MS Office Suite – Word/ Excel / Outlook.
* Internet researching/ online shopping and price comparing.
* Updating, entering in extensions and reordering the display, and troubleshooting the phone system.
* Ability to answer multiple consecutive telephone calls, to direct and redirect multiple calls to the appropriate individuals, and accurately record and deliver messages to employees.

* Ability to turn around clear, concise, and error free typed letters, reports, and documents.
* Daily attendance, adherence to the scheduled work hours, and accurate recording of time.
* Must be able to listen, speak, sit, stand, bend, stoop, reach overhead, and lift 25lbs.

Preferred qualifications:
* Associate’s Degree and four years related experience.
* Computer skills – typing 65+wpm, 10 key data entry skills, Adobe Photoshop/ InDesign, ability to troubleshoot computer issues, advanced MS Office Skills, Bluebeam
* Microsoft Office Specialist (MOS) certifications.
